Arcane & Ivory is a wedding planning, coordination, stationery and celebration-services business based in Calgary, Alberta, Canada.

Arcane & Ivory is based in Alberta and handles personal information in accordance with Alberta’s Personal Information Protection Act (“PIPA”).


Where applicable, certain activities involving personal information transferred across provincial or international borders may also be subject to Canada’s Personal Information Protection and Electronic Documents Act (“PIPEDA”) or other applicable privacy laws.


This Privacy Policy is intended primarily for Arcane & Ivory’s operations in Alberta and Canada. We do not include jurisdiction-specific provisions for California, Nevada, the United Kingdom or the European Union unless those laws become applicable to our business activities.

Your partner’s name should only be provided when you have their permission to share it with us.
 

Booking and Client Information
 

When you book a consultation, become a client or purchase services, we may also collect:

  • Consultation and appointment details;

  • Billing information;

  • Transaction and payment records;

  • Signed agreements and electronic signatures;

  • Wedding or event timelines;

  • Venue and vendor information;

  • Guest-related information necessary to provide our services;

  • Design, stationery and décor preferences;

When you hire Arcane & Ivory for planning or coordination services, it may be necessary to share relevant information with venues and vendors involved in your event.

  • Other event details reasonably necessary for coordination.

12. Photographs, Testimonials and Portfolio Use


We will not publish your private contact information.
 

We will not use identifiable wedding photographs, testimonials, names, invitation details or private event information in our portfolio, website, social media or marketing materials unless:

  • You have provided appropriate permission;

  • The use is covered by a separate written release or agreement; or

  • The information was otherwise lawfully made available for that purpose.


Any portfolio or promotional permission will be addressed separately from the basic consent required to respond to an inquiry or provide services.


You may contact us with questions about previously granted portfolio permission.


13. Email and Promotional Communications
 

We may email you to:

  • Respond to your inquiry;

  • Confirm a consultation or booking;

  • Send a proposal, agreement, invoice or payment confirmation;

Submitting an inquiry does not automatically subscribe you to a general promotional mailing list.


We will only send newsletters or ongoing promotional emails when we have an appropriate basis to do so, including consent where required.


Promotional communications will identify Arcane & Ivory and provide a way to unsubscribe. You may also request to stop receiving promotional messages by emailing info@arcaneandivory.com.


Unsubscribing from promotional communications will not prevent us from sending necessary transactional, contractual or service-related messages.


14. Retention of Personal Information


We retain personal information only for as long as reasonably necessary for the purposes for which it was collected or for legitimate legal and business requirements.


The appropriate retention period may depend on:

  • Whether an inquiry became a client relationship;

Inquiry information that does not result in a client relationship may be deleted or anonymized when it is no longer reasonably required.

When personal information is no longer reasonably required, we will take reasonable steps to securely delete, destroy or anonymize it.

However, no website, email account, electronic transmission or storage system can be guaranteed to be completely secure.


Please do not send complete payment-card details, passwords, Social Insurance Numbers or highly sensitive identification information through ordinary email.

If we become aware of a loss, unauthorized access, unauthorized use or unauthorized disclosure of personal information, we will take reasonable steps to:

  • Investigate what happened;

  • Protect the affected information;

Where a privacy incident creates a real risk of significant harm, we will notify the Office of the Information and Privacy Commissioner of Alberta and affected individuals as required by applicable law and without unreasonable delay.


We do not promise a universal 72-hour notification period because the requirements and circumstances may differ depending on the incident and applicable law.

Subject to applicable law, you may ask us to:

  • Confirm whether we hold personal information about you;

  • Explain how your personal information has been used;

  • Explain to whom your information has been disclosed;

  • Provide access to personal information we hold about you;

  • Correct inaccurate or incomplete information;

Requests should be submitted in writing to info@arcaneandivory.com with the subject line “Privacy Request.”


We may request enough information to verify your identity before providing access, making changes or deleting information.


Access or deletion may be limited where:

  • The information contains personal information about another person;

  • Disclosure would reveal confidential commercial information;

  • The information is protected by legal privilege;

  • Retention is required by law;

  • The information is required for an active contract, transaction or dispute;

  • Deletion would interfere with another person’s lawful rights; or

  • Another exception under applicable law applies.


We will respond within the time required by applicable law.

We will review privacy concerns and make reasonable efforts to resolve them.

If you are not satisfied with our response, you may have the right to contact the Office of the Information and Privacy Commissioner of Alberta or another applicable privacy regulator.


19. Children’s Privacy


Our website and wedding-planning services are intended primarily for adults.


We do not knowingly request or collect personal information directly from children under 16 through our website.


If you believe a child has submitted personal information to us without appropriate permission, please contact info@arcaneandivory.com so that we can review and, where appropriate, delete the information.


20. Third-Party Websites and Social Media


Our website may contain links to:

Arcane & Ivory does not control and is not responsible for the privacy, security or content practices of independent third parties.
